Cancellation & refund policy 

1. Scope
   This Cancellation and Refund Policy applies to all registration fees paid for participation in the ICCS Annual Meeting 2027 (the “Meeting”), organized by UMC Utrecht / WKZ (the “Organizer”).

2. Cancellation by Participant
   2.1. All cancellation requests must be submitted in writing via email to urotherapie@umcutrecht.nl.
   2.2. The effective date of cancellation shall be the date on which the Organizer receives the written cancellation request.

3. Refund Schedule
   Refunds of registration fees will be processed in accordance with the following schedule:

   • Until 31 March 2027, 11:59 PM (ET): 100% refund of the registration fee, less a non-refundable administration fee of €7.50.

   • From 1 April 2027 through 31 May 2027, 11:59 PM (ET): 70% refund of the registration fee, less a non-refundable administration fee of €7.50.

   • On or after 1 June 2027: no refund will be issued and 100% + 7,50 administration cost of the registration fee will be retained by the Organizer.

4. Non-transferability to Other Events
   Registration fees are specific to the Meeting and may not be transferred or credited to any other event, course, or future edition of the Meeting.

5. Participant Substitution
   5.1. In lieu of cancellation, a registered participant may request substitution of a colleague to attend the Meeting in their place, subject to prior written approval by the Organizer.
   5.2. Any financial arrangements related to such substitution shall be handled solely between the original participant and the substitute participant. The Organizer will not refund fees to the original participant nor issue a new invoice to the substitute participant.
   5.3. The substitute participant must meet all eligibility criteria and comply with all terms and conditions applicable to Meeting attendees.

6. No-show
   Participants who do not attend the Meeting and do not submit a timely cancellation request in accordance with this Policy shall be deemed no-shows and shall not be entitled to any refund or credit.

7. Amendments
   The Organizer reserves the right to amend this Cancellation and Refund Policy at any time. Any amendments will apply to future registrations and will not affect refund rights already accrued at the time of the amendment

When registration is canceled, a refund is possible, depending on the time of cancellation. For any cancellation, we will charge €7,50 for administration costs.
